Office Administrator

Organising and coordinating the entire order process from the point at which an order is sent to a supplier, to the time the kitchen is manufactured and then to the point of delivery and after-care service.

This will be done by:

  • Checking orders to ensure no mistakes before products arrive
  • Checking supplier confirmations for products against our orders
  • Coordinating deliveries from suppliers and to customers on a daily basis
  • Organising reject notes for products that are damaged or incorrect
  • Organising returns process – reject notes, arrangement with supplier for goods to be returned and ensure credits received
  • Liaising with office and factory staff
  • Basic knowledge of South-East map

Encoding and ordering kitchens from plans and specifications received from regular kitchen retailers/developers.  Creating plans using Articad software from specific details given by regular developers.

This will be done by:

  • Learning how to read and understand plans
  • Learning kitchen products and ranges
  • Using Quoting and Articad software
  • Liaising with customers to discuss requirements

General duties include:

  • Tea/coffee making
  • General housekeeping in office and kitchen
  • Filing, faxing, answering phones
  • Preparing and taking items to post office and courier
  • Weekly invoicing
  • Daily schedule print out and distribute to factory
  • Jobs that may arise over time to meet the needs of the business

The applicant for this job will be able to retain information easily, have excellent organisational skills, neat handwriting, a good telephone manner and the ability to work well in a team.  They will have good communication skills with a range of different people that will include staff, suppliers, customers and the general public.  They will be aware of the way they conduct themselves at all times, be courteous and willing to help in areas that may not directly be their job.  The person will have a positive mentality, be trustworthy and willing to push themselves to learn a new industry, job, company and achieve the best for themselves and the people they are working with.
