Job Advert – Sales Administrator (Spare Parts)
Location: Tolleshunt D’Arcy, Essex

We are recruiting on behalf of a well-established engineering company that specialises in the design, manufacture, and supply of high-quality filtration equipment. Their UK office is responsible for serving customers across the UK and Ireland, and due to continued business growth, they are now seeking to expand their Sales Administration support within the Spare Parts team.

This is a fantastic opportunity to join a growing and supportive business that values collaboration, precision, and excellent customer service.

Key Responsibilities:
• Analyse customer RFQs and identify required parts
• Identify payment terms and transportation method/costs
• Produce quotations using a bespoke ERP system
• Follow up quotations through a formal quote-chasing process
• Convert quotations to sales orders
• Send order acknowledgements
• Generate purchase orders and place orders with suppliers
• Check supplier order confirmations
• Issue dispatch notes and organise deliveries
• Monitor supplier performance
• Assist with warranty claims, returns, and credit notes
• Prepare recommended spares quotes/lists
• Manage part ID numbers and pricing on the ERP system
• Prepare files for invoicing by the accounts team
• Contribute to monthly team and department meetings

The ideal candidate will:
• Have excellent administrative, organisational, and customer service skills
• Be able to work calmly and effectively under time-sensitive conditions
• Consistently deliver high-quality, detail-focused work
• Have previous experience in an office-based sales administration role

Role Details:

  • Full-time, permanent position

  • 37.5 hours per week

  • Basic salary: £30,000 per annum

  • 24 days annual leave plus bank holidays and a discretionary Christmas shutdown
