Top Job Recruitment are seeking a dynamic and multitasking Secretary/PA with construction or facilities experience for our client based in Ipswich.

Responsible for audio typing, scheduling, client coordination, and staff/job organization. Strong typing skills, Microsoft proficiency, and ability to handle pressure required.

Responsibilities:

  • Perform audio typing and minute-taking tasks using the Philips Speech exec system.
  • Manage the MD's diary, appointments, and job bookings.
  • Answer calls, respond to emails, and handle communication effectively.
  • Create and print job sheets, specifications, and relevant documents.
  • Coordinate staff, logistics, and projects in the Suffolk and East Anglia area.
  • Assist in meeting preparation and provide necessary documents.
  • Manage Outlook Calendar and handle tasks and appointments.
  • Place orders for equipment, materials, and skips.
  • Liaise with clients, address queries, and schedule work.
  • Oversee vehicle fleet management, including MOT, servicing, and insurance.
  • Keep accreditations up to date.
  • Assist in onboarding and vetting new employees.
  • Perform additional duties as needed.

Monday to Friday

8.45am-5pm

Note: Construction or facilities experience, strong organizational skills, and ability to work in a fast-paced environment are essential.
